Job Description

Ensure the highest customer service level through the proper document and information management, while providing an exceptional internal customer service within the transportation department, complying with all procedures and policies of the company.

Major Duties and Responsibilities :

Customer Service :

  • Ensure smooth and timely information, data entry and document flow, based on internal requirements, per product.
  • Track and trace transportation files as required. This can be internally via exp.o or externally either via carrier websites or by telephone to carrier offices.

    Comply with all product requests and make sure information processed within the required KPI’s. Ensure we always met customer’s expectations.

    Contribute to maintain strong relationships with vendors (airlines, steam ship lines trucking companies, and others).

  • Meet compliance at all times to regulations. This includes internal policies and procedures such as Operational Process Standards (OPS) and external government regulations or customer’s policies / requirements.
  • Understand department process flow, constantly looking for areas of improved efficiency
  • Efficiency and consistency at the transportation data entry process :

  • Understand the internal customer requirements, and always be in the lookout for better practices to improve our operational performance, efficiency and productivity. (Proactive)
  • Read, understand and execute in accordance to the products local procedures written and maintained in our local F drive.
  • Understand and utilize all developed transportation department’s tools including but not limited to :
  • Air import’s workflow.

    Ocean import’s workflow.

    MB report.

    Air import’s shipment monitoring report.

    EDOC in a daily basis, avoid paper.

    All transportation-automated reports related to OPS, OPA, shipment processing, and shipment status.

  • Proper follow up of all reports that correspond to the product handled by the transportation team including but not limited to :
  • OCL / OLA.

    Customer’s approved list filter to make sure all customers are recognized in the transportation team.

    Free domicile report.

    OSD report and make sure OSD processes is completed.

  • Ensure documents timely sent to our customer’s broker for a timely completion of applicable customs purposes.
  • Request for support on a timely manner, and ensure that all commitments made with internal clients met.
  • Work actively as a team, being able to solve problems in conjunction.
  • Escalation of problems to Management when necessary.
  • Proper interaction with internal customer, other expeditor’s offices (origins, destinations gateways, etc).
  • Correct utilization of company’s resources.
  • Compliance :

  • Understand and execute according to all compliance requirements.
  • Think about compliance at all times, as we must meet with all applicable regulations per product.
  • Avoid fines, penalties or warning related to compliance.
  • Meet KPI standards in accordance with the Company’s procedures.
  • Pricing, billing & accounting :

  • Understand and comply with expeditor’s credit policy.
  • Understand and comply with FMC rules.
  • Avoid BNP or AR issues, by executing correctly while processing the shipment.
  • Personal Development :

  • Meets company standards of 52 hours training per year 4.33 hours per month per employee.
  • Attend training classes when required.
  • Complete mandatory training when required.

  • Qualifications

  • 6 months to 1 year related experience and / or training; or equivalent combination of education and experience.
  • Understanding of air import process.
  • Effective interpersonal skills, including proven abilities to listen, comprehend, effectively communicate clearly and concisely to obtain positive results.
  • Pro-active, strong organizational skills.
  • Good computer skills (Excel, Word).
  • Hazardous Materials certification (preferred).
